These Terms of Service ("Terms") govern your use of the Fieldmaster Africa website and any trip, itinerary, or service booked with us. By inquiring about, booking, or traveling on a Fieldmaster Africa trip, you agree to these Terms.
1. Acceptance of Terms
By contacting us to plan a trip, confirming a booking, or making a payment, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you are booking on behalf of other travelers, you confirm you have their authority to accept these Terms on their behalf.
2. Bookings & Reservations
Trip inquiries and bookings are handled directly through our team, typically initiated via WhatsApp or our contact form. No trip is confirmed until:
- You have received written confirmation of your itinerary and price from us, and
- The required deposit has been received (see Payments below).
3. Payments
A non-refundable deposit of $200 is required to confirm your booking. The remaining balance is due no later than 5 days before your trip start date. Payments can be made via bank transfer. All prices are quoted in USD currency unless otherwise agreed in writing.
Bookings made within 5 days of the trip start date must be paid in full at the time of confirmation.
4. Cancellations & Refunds
Cancellations must be submitted in writing. Refunds, where applicable, are calculated based on how far in advance of the trip start date we receive your cancellation notice:
- 5+ days before departure: deposit forfeited, balance refunded
- 5-10 days before departure: 10% of total cost refunded
- Within 5 days of departure: no refund
Some third-party bookings (e.g. gorilla trekking permits, flights, park fees) may carry their own non-refundable terms set by the issuing authority, regardless of our cancellation policy.
5. Itinerary Changes & Force Majeure
We reserve the right to modify an itinerary where necessary for traveler safety, weather, wildlife behavior, road conditions, or circumstances beyond our reasonable control (including but not limited to natural disasters, government action, civil unrest, epidemics, or park closures). Where possible, we will offer a comparable alternative. We are not liable for costs arising from such changes that are outside our control.
6. Travel Documents & Health
You are responsible for ensuring you hold a valid passport, any required visas, and meet the health and vaccination requirements (including yellow fever certification where applicable) for each country on your itinerary. We can advise where possible, but final responsibility rests with you. Fieldmaster Africa is not liable for denied entry or missed travel due to incomplete documentation.
7. Traveler Conduct
You agree to follow the reasonable instructions of your guide, park rangers, and local authorities at all times, particularly around wildlife. We reserve the right to remove a traveler from a trip, without refund, if their conduct endangers themselves, other travelers, guides, or wildlife.
8. Liability & Assumption of Risk
Travel involving wildlife viewing, trekking, and remote areas carries inherent risk. By booking with us, you acknowledge and accept these risks. To the fullest extent permitted by law, Fieldmaster Africa is not liable for injury, illness, loss, or damage arising from wildlife encounters, natural hazards, third-party service providers (airlines, lodges, park authorities), or circumstances outside our reasonable control.
Nothing in these Terms excludes liability that cannot be excluded under applicable law.
9. Travel Insurance
We strongly recommend all travelers hold comprehensive travel insurance covering medical treatment, evacuation, trip cancellation, and personal belongings, for the full duration of their trip.
10. Conservation Contribution
A portion of every trip booked through Fieldmaster Africa supports the community and conservation work carried out by Save Wildlife Uganda in Ishasha. This contribution is included in your trip cost and is not a separate itemized fee.
11. Intellectual Property
All content on this website, including itineraries, photography, and written content, is owned by Fieldmaster Africa or used with permission, and may not be copied or reproduced without our written consent.
12. Governing Law
These Terms are governed by the laws of the Republic of Uganda. Any disputes arising from these Terms or your trip will be subject to the jurisdiction of the courts of Uganda.
13. Contact
Questions about these Terms can be sent to fieldmasterafrica@gmail.com or via WhatsApp through our Contact page.
